Terms & Conditions of Enrollment
Participant Agreement
I am/My daughter or son is enthusiastic about participating in this course. We understand that an enjoyable and fulfilling experience with EPI depends on my positive attitude, on my willingness to contribute to the whole group and on my willingness to participate enthusiastically in the program activities. We understand that disruptive behavior, my use or possession of any form of tobacco, any alcoholic product, or any illegal drug will result in my immediate return home, at my own expense and without refund. We have read, understand and agree to abide by the application guidelines, payment schedule, late fees, and cancellation policy. I also give EPI permission to use the participant's first name, age at time of program, country, and image in promotional materials and press releases.
Standard Cancellation Policy

Any cancellation within 24 hours of enrollment is entitled to a full refund.

Cancellation up to five months (150 days) prior to course start date is entitled to a full refund minus a $100 fee.*

Cancellation between five months (149 days) and two months (60 days) prior to course start date is entitled to a full refund minus $500 fee*

Cancellation within two months (59 days) of course start date receives no refund.
COVID-19 Cancellation Policy
EPI offers exceptions to the standard cancellation policy for in cases involving COVID-19. In order to qualify for the COVID exceptions, a participant must meet one of the following criteria:

Positive COVID-19-test result or COVID-19 symptoms accompanied by a doctor's verification.

Proof of federal or international policy restricting travel due to COVID-19.

Enrolled in a course that is being rescheduled by EPI due to COVID-19.
Late (within two months of course departure date) cancellations due to COVID-19 are subject to the following exceptions to the standard cancellation policy:

Cancellation between two months (59 days) and two weeks (14 days) prior to course start date are entitled to a full refund minus $1000 fee.*

Cancellation within two weeks (13 days) of course start date are entitled to a full refund minus $1,500 fee.*
For COVID cancellations, tuition vouchers are available in place of any qualified refund at 100% value up until 30 days prior to course, at which point an 85% voucher is available.
*Does not include any non-refundable airfare costs. Airline vouchers provided if refunds are not possible.
Application and Payment Guidelines
Apply early! EPI courses are enrolled to capacity several months in advance of the start date. Fill out the application online and pay your non-refundable enrollment deposit online or mail a check. This deposit is applied towards the full program cost. After reviewing your application, we will enroll you in the course of your choice if there is space available. Your deposit is non-refundable, and non-transferable. If the course you applied for is full, this deposit will be returned to you. The deposit amount to enroll in a course depends on the date your application is received.

Applications received more than 6 months before course start date: $250.

Applications received between 2-6 months before course start date: $1000.

Applications received less than 2 months before course start date: Full tuition.
If you apply less than 6 months before the course start date, tuition is subject to change due to airfare costs.
Enrollment
You are expected to submit all required course paperwork and payment to your Enrollment Coordinator. You can access all of this information from your student login page.
Tuition Voucher Policy

Tuition vouchers are non-refundable.

Tuition vouchers can be used toward any one available EPI course prior to the voucher's expiration date.

Online Medical Form: Please complete this online form. You can save your spot, please remember to save the link. You are expected to provide your medical insurance information. If you do not have medical coverage, temporary medical insurance may be obtained from various travel insurance companies.

Physician form: This form requires a physician's signature. Please schedule an appointment early to complete this form by the paperwork deadline.

Minor International Travel Letter (for minors traveling internationally): The form must be signed by parents and notarized. Please keep the original form and submit a photocopy to your Enrollment Coordinator.

Passport: Submit a color photocopy of the first two pages of the traveler's passport (for international courses).

Consent forms: Sign and submit the EPI consent forms.

Course Activity forms: Please sign and submit all highlighted fields on the course activity forms.
If traveling internationally, you must have a passport that is valid for at least 6 months after your arrival in the destination country, and it is your responsibility to apply for or renew your passport in a timely manner. If traveling domestically, you may need an ID that is REAL ID Act compliant.
EPI books accommodations in your name. Errors in spelling may result in complications. Your birthdate and full name must be provided as they appear on legal documents (passport, birth certificate, etc).
All forms and payments are due by the due date unless otherwise outlined by EPI or group organizer. Any participant missing paperwork or payments within four weeks of the course start will be dropped from the course without refund.
Payment:

The $250 deposit is due immediately upon enrollment to secure your spot on course.

The next payment due is $750 (the two payments total $1000 and that is the total due by your tuition deposit deadline).

The final payment is due 2 months before your course departure date.

Late Fee(s)
A $50 late fee will be added to your account for payments received after the tuition deposit deadline and/or final payment deadline.
Student Behavior and Discipline
EPI reserves the right to expel any student who: uses and/or possesses cigarettes or tobacco products of any kind while on course; uses and/or possesses alcohol; uses and/or possesses illegal drugs; engages in sexual behavior or coupling; exhibits behavior that is unsafe or disrupts or distracts from the educational mission of their course. If a student is expelled, there will be no refund and the return home will be at the expense of the participant and their family.

EPI does not discriminate on the basis of race, color, religion, creed, sexual orientation, national origin, age, or disability in the administration of its admission or employment policies. If EPI reasonably determines that a disability could lead to an inappropriate level of danger to the student or others, based upon a particular activity, then that person may be ineligible for that particular course or assignment but would not be excluded from other opportunities offered by EPI.
